Buying an HRIS is a multi-year decision. Switch too often and you pay for it in migrations, retraining, and disrupted payroll; choose badly once and you live with workarounds every cutoff. The hard part is that most HR platforms demo beautifully, the gaps only show up months later, usually around Philippine-specific compliance and the fine print of data ownership.
Use these twelve questions to pressure-test any HRIS before you sign. They are grouped into the four areas where Philippine buyers most often get surprised.
Local fit: does it actually understand PH payroll?
Generic or foreign-built systems can technically "do payroll" while missing the rules that matter here.
1. Does it compute SSS, PhilHealth, Pag-IBIG and BIR withholding natively? Not through a plugin or manual upload, but built in and kept current when tables change.
2. Can it handle semi-monthly cutoffs, 13th month pay, and government loans? These are the day-to-day realities of Philippine payroll, not edge cases.
3. Does it generate the reports you actually file? Payslips, BIR forms, alphalist, and remittance summaries that reconcile with your runs.
Attendance and operations
Payroll is only as accurate as the hours feeding it.
4. How does it capture attendance? Biometric devices, mobile, or web, and does it flow straight into payroll without re-encoding?
5. Can it handle your schedules? Shifting, night shift, rest days, overtime, and holiday premiums computed automatically.
6. Does it manage leave end to end? Balances, approvals, and accruals that stay in sync with payroll.
Data ownership, security and control
Employee data is sensitive and, under the Data Privacy Act, your responsibility.
7. Who owns and controls the data? Can you export everything if you leave, and is your data isolated from other companies?
8. Where is it hosted, and how is it secured? Access controls, backups, and encryption should be clear, not vague.
9. Does it support role-based access and an audit trail? So sensitive records are seen only by the right people, and changes are traceable.
Cost, support and growth
The sticker price is rarely the real price.
10. What is the true total cost? Setup, per-employee fees, add-ons, and support, with no surprise charges as you grow.
11. What does support look like in practice? Local, responsive help matters most during payroll week and year-end filing.
12. Will it scale and adapt with you? More headcount, new branches, or a white-label setup if you resell or manage multiple entities.
The bottom line
The best HRIS for a Philippine business is not the one with the longest feature list. It is the one that gets local compliance right, keeps your data yours, and holds up during the weeks that matter. If a vendor cannot answer these twelve questions clearly, that is your answer.
BeavHR is built for these questions from the ground up: native Philippine payroll and statutory compliance, biometric attendance, leave, isolated per-company data, and a white-label option for consultants and agencies. If you would like to see how it handles your specific setup, book a demo and we will walk you through it with your own numbers.
