A DOLE labor inspection checks whether an employer is meeting general labor standards and occupational safety and health rules. Inspections can be routine or complaint-driven, and being ready is far less stressful than scrambling. Here is what to have in order.
Employment records
- Employment contracts and updated 201 files for each employee.
- Daily time records / attendance and the payroll registers that tie to them.
- Payslips showing wages and the breakdown of deductions.
Wage and benefit compliance
- Payment of at least the applicable regional minimum wage.
- Correct overtime, holiday, rest-day, and night-differential pay.
- 13th month pay and its DOLE compliance report.
- Statutory leaves granted, and SSS/PhilHealth/Pag-IBIG registration and remittances current.
Occupational safety and health
- Required safety officers/committee and training, where applicable.
- Basic OSH measures, first-aid provisions, and incident records.
Policies and postings
- Company rules and a disciplinary process that follows due process.
- Any required workplace postings and registrations.
During and after the visit
Be cooperative and factual, designate someone to accompany the inspector, and keep copies of anything provided. If a Notice of Results flags deficiencies, you are typically given a window to correct and comply. Treat it as a to-do list, not a verdict. Confirm current procedures with DOLE.
Stay inspection-ready year-round
Almost everything an inspector asks for is a record you should already keep. When contracts, attendance, payslips, leave, and remittance proofs live in one organized system, an inspection is a matter of pulling reports. BeavHR keeps those records complete and reconciled so you are ready any day. Book a demo to see it.
